ASSISTANT Education MANAGER

Overview
Grindstone Theatre is seeking an Assistant Education Manager for 30 hours per week. We are looking for someone with sponsorship, administration and education experience to help the Education Manager at The Grindstone Theatre School. This job will include actively seeking out sponsorship and donations for the Education Department, facilitating events to foster sponsorship, donations and actively seek outreach opportunities with businesses and schools. The Assistant Education Manager would also support the Education Team with the facilitation of our semestered programs, and provide admin support for the Education Manager.
Applicants must be self-starters and able to self manage their time, workload and other responsibilities.
If you are passionate about theatre arts, have a background in sponsorship and are able to manage and solve problems on the fly - we think you would be a great fit!
RESPONSIBILITIES:
Outreach:
-
Support the education team when running booths at festivals, conventions etc
-
Actively seek out outreach opportunities from schools, businesses etc
-
Contract and schedule instructors for outreach workshops for schools and businesses
-
Liaise with clients pre- and post-workshop for outreach workshops for schools and businesses
-
Collect and archive testimonials for outreach workshops for schools and businesses
-
Field inquiries for outreach workshops for schools and businesses
-
Draft budgets and formal pitch documents for outreach workshops for schools and businesses, for approval by Education Manager and Artistic Director
-
Work with contracted instructors and the curriculum consultant to develop outreach curriculum for each school residency.
Sponsorship and Donations:
-
Assist the Education Manager in producing fundraising shows and opportunities
-
Help set up and run silent auctions
-
Reach out to businesses for sponsorship

Create sponsorship opportunities
-

Keep sponsorship and donation information up to date on website and in brochures
-
Actively search and pursue sponsorship and donation opportunities
-
Develop new ideas for sponsorship and donations with the Education Manager
General Education:
-
Support the Education Manager with various admin tasks
-
Support the Education Manager in creating and maintaining programs and policies for the Education department
-
Support the Education Manager in developing training documents for policies for Grindstone Theatre School
-
Collaborate with Education team to manage email inquiries from current and prospective students
-
Act as point of contact during on-call days for classes and workshops, including email, text, and phone communication from instructor and/or students. Be on-call to address any facility issues and support regular instructors as well as substitute teachers as needed
-
Collaborate with the Education team to process registrations and track data pertaining to registrations
-
Prepare and disseminate documents and emails to students and instructors including: Welcome emails, handbooks, waivers and forms, showcase schedules, tech information, showcase and class promotional materials, and other relevant documents or communications for classes and workshops

Develop a consistent and open line of communication with all instructors, especially for on-call dates. Support the instructors needs and the students needs as relayed by the instructor when necessary, including providing accessibility amenities, printing documents, and assisting in the arrangement of substitute teachers or alternate classroom locations

Help facilitate the pre-season staff meeting and consent training with the Education Team

Liaise with instructors and Curriculum Consultant to develop scaffolding programming, and collaborating with instructors to evolve and improve class content and offerings

Provide website support and assistance for the Education Manager

Additional duties as required
QUALIFICATIONS:
-
High School Diploma (post secondary education is an asset)
-
1 year of experience in sponsorships and donations
-
1 year of admin experience (experience in Fine Arts Education Administration is an asset)
-
General knowledge of theatre practice
-
Experience with Wix is an asset
-
Strong interpersonal and customer relations skills. Ability to create and sustain positive working relationships with theatre companies and staff
-
Strong organizational and time management skills
-
Demonstrates attention to detail with the ability to manage competing priorities at work
-
Self-directed with the ability to take initiative
POSITION DETAILS:
Schedule/Wage:
-
Wage is $19/hour
-
30 hours per week
-
Mixed availability - partial day times and partial evening and weekends

Education staff are expected to be on call on their designated days during semesters
